The Weekly Club Programme

I think this is one of the most important features of the club website. It is through our meetings that friendships are developed, projects outlined and decisions taken. Would you want to join a club that meets every week and has a totally boring time? Rotary clubs aren't like that - meetings are varied and potential members, speakers, journalists and members of the community will look at your meeting programme to see what your club actually does each week.

ONLY USE THIS SECTION FOR YOUR REGULAR WEEKLY MEETINGS, not Council meeitngs that might occur on another week night, for example.

There are a number of extra features built into the weekly programme on the website;

  • It is date sensitive - your homepage will show the report of your last meeting, and the topic for your next meeting.
  • therefore - provided that you enter the information - your homepage will change automatically every week.
  • The topic for the next meeting is shown on the district website - so a visiting Rotarian may look there and decide he or she would like to make up at your club rather than
  • You can add one picture to the report which, if present, will also be displayed on the homepage

Adding to the Club Programme

From the main admin page, click the 'Future + Add/Delete a Meeting' the following page is displayed;

Again, the current Rotary year is displayed, but as you get towards the end of the current year and start planning next year's programme, you will want to change this. Give the meeting a name and add the date of the meeting. Click 'Add Programme Item'

As you compile your programme, the future programme is displayed below the form;

Updating/deleting the item is hopefully self-explanatory!

When finished adding programme items, click the link to return to the admin page.

Updating Completed meetings

From the main admin page, click on 'Completed' adjacent to the Programme section. A screen similar to the one below opens;

Past ProgrammeTo write a report about the meeting, click on the date - to delete it, click on 'delete'.

We meet on a Monday and one of our members does a write-up of the meeting for Tuesday morning, which is emailed to the local paper, myself and the bulletin editor.

I then copy the report, click on that meeting's date and paste the report in place. Of course, it could all be done in one go - but we aren't ready for that yet!

Click on the date; you can then write the report or paste it in place.

If you choose to upload a picture from your computer, it will be resized twice - once as a 'thumbnail' - a small picture that's displayed with the report and secondly as a larger picture.

Click on the 'Browse' button - this opens a window showing the files in a folder on your computer, something similar to that below;

Your view might be different - you can change that so you can easily see which picture you want to upload. Select the picture which must be in .jpg/.jpeg or .gif format. Either double click it, or click on it then 'Open' at the bottom of the window. The picture will then be uploaded to the server.

If you upload a picture, write some text in the 'ALT text for photo' field - this is displayed when the users mouse hovers over the picture.

Click 'Update' when the report is complete - you can always return to it and update it again if there are mistakes.

As a result of this, the club homepage now looks like this;

..and it will update itself each week - provided you enter the club programme!
